One of the crypto-oriented software companies collaborated with eXelor to convert its sales and proposal process with the help of AI. We developed an end-to-end system which listens to client conversations, gathers important business insights, and transforms them into ready-to-send proposals with the least amount of human intervention.

Challenge

The company operated in a very fast-paced environment where client needs, budgets and decisions changed rapidly. Sales teams reviewed call notes, chat messages and transcripts manually to extract requirements and craft proposals. Meetings produced large volumes of raw information — budgets, timelines, decision drivers, stakeholders and pain points — but turning it into clear, actionable proposals took hours. Proposal quality varied and follow-ups were delayed.

Solution

We built a fully automated AI-based proposal generation engine that converts conversations (calls and text) into structured business documents. The system transcribes audio with Otter.ai, analyzes audio and text using OpenAI models to extract business indicators, and organizes insights into an executive summary, situation analysis, recommended solution, timeline, milestones, investment options and ROI calculator. Workflows are orchestrated by n8n and final documents are generated dynamically in PandaDoc. CRM integration ensures proposals and follow-ups are tracked automatically. The AI adapts proposal tone and structure based on conversation context, with an optional human-in-the-loop review for edge cases.

Result

The sales cycle shortened dramatically — proposals are prepared in minutes instead of hours. Generated documents were coherent and accurate, reflecting client needs precisely. Sales teams shifted from administrative tasks to strategic engagement, improving client relationships and deal velocity. The engine improved over time with feedback loops, increasing tone and structure quality. CRM updates, notifications and follow-ups were automated to ensure no opportunity was missed, putting the company at the forefront of AI-driven business development.
